Your privacy is important to us. This Privacy Policy explains how Planner-Assist manages personal information about our clients and their clients when providing paraplanning and related services.
About Planner-Assist
Planner-Assist is an Australian-owned financial paraplanning services provider providing services to financial advisers throughout Australia. Planner-Assist is operated by Angela Santalia as a sole trader under ABN 86 082 097 269. Services are provided remotely from Hungary.
Our services include:
- Preparation of Statements of Advice (SOAs) and related documents
- Assistance in creating recommended strategies
- Financial modelling and projections
Planner-Assist is subject to the Privacy Act 1988 (Cth) to the extent applicable and is committed to complying with the Australian Privacy Principles (APPs) that apply to the personal information we handle.
Personal Information We Collect
We collect personal information provided to us by our financial adviser clients so that we can provide the requested services. We generally do not collect personal information directly from financial advisers’ clients and do not ordinarily communicate with them directly.
Depending on the services requested, information may include:
- Name, address, date of birth and contact details
- Employment and occupational information
- Income and expenses
- Assets and liabilities
- Account balances and financial statements
- Tax and residency status
- Citizenship status
- Health or medical information where relevant to the requested services
We may request additional information where reasonably necessary to provide our services. We generally obtain this information through our financial adviser client.
If requested information is not provided, we may be unable to complete the requested services or may only be able to provide limited services.
We rely on our clients to provide current and accurate information and to advise us when information previously supplied has changed.
How We Use and Disclose Personal Information
We use personal information only for purposes reasonably necessary to provide our services, manage our business relationship, comply with legal obligations, or for other purposes authorised in accordance with applicable privacy requirements.
We may disclose personal information to people or service providers who are authorised or engaged to assist Planner-Assist in providing our services, where access is reasonably necessary. We take reasonable steps to ensure that such persons are subject to appropriate confidentiality and privacy obligations.
We do not ordinarily disclose personal information to government agencies or other organisations unless authorised or required by law, or otherwise authorised in accordance with applicable privacy requirements.
We will not use personal information about our clients’ clients for our own direct marketing purposes.
We may send our own clients information about Planner-Assist services or other information relevant to our business relationship. Where required by applicable law, we will provide an appropriate means to opt out of direct marketing communications.
Contact with Financial Advisers’ Clients
Our financial adviser clients are ordinarily the primary relationship holder with their clients. We generally do not contact those individuals directly.
If direct contact is required to provide our services, we will generally do so only at the request or with the approval of our financial adviser client.
If an individual whose personal information we hold wishes to exercise a privacy right directly with Planner-Assist, they may contact our Privacy Officer.
Overseas Operation
Planner-Assist operates from Hungary while providing services to financial advisers throughout Australia. Personal information may therefore be accessed from or handled in Hungary in the course of providing our services.
Planner-Assist takes reasonable steps to protect personal information in accordance with applicable Australian privacy requirements and our information security arrangements. Where applicable, Planner-Assist will consider and comply with requirements relating to overseas handling or disclosure of personal information.
Information Security
We maintain reasonable and proportionate technical, physical and organisational security measures appropriate to the nature, sensitivity and circumstances of the personal information we hold. These measures are supported by our information security and risk-management arrangements.
We maintain our records electronically and do not use paper-based client files. Planner-Assist has operated electronically for more than 15 years and does not use paper-based files as part of its operations.
Access to personal information is restricted to persons who need it for authorised purposes. We use measures such as password protection and secure electronic storage to help protect information against loss, unauthorised access, misuse, interference, disclosure, alteration or corruption.
Data Breaches
If we become aware of a suspected or actual data breach, we will assess and manage the incident in accordance with our Cyber Incident Response Plan and applicable privacy laws.
Where a breach is an eligible data breach under the Notifiable Data Breaches scheme, Planner-Assist will comply with applicable notification requirements.
Retention and Destruction
We retain personal information only for as long as reasonably necessary for the purposes for which it is held, unless we are required or authorised by law to retain it for longer.
When personal information is no longer required, we take reasonable steps to securely destroy it or de-identify it.
Access and Correction
Individuals may request access to, or correction of, personal information that Planner-Assist holds about them, subject to applicable legal exceptions.
Requests should be made to our Privacy Officer.
If we hold personal information about a client of one of our financial adviser clients, we generally encourage that individual to contact their adviser in the first instance, as the adviser is ordinarily the primary relationship holder. However, individuals may also contact Planner-Assist directly regarding their privacy rights.
Complaints
If you have a concern about how Planner-Assist has handled your personal information, please contact our Privacy Officer.
We will acknowledge and investigate your complaint and seek to resolve it within a reasonable period.
If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) on 1300 363 992 or through the OAIC website.
Website Privacy
This section applies to www.planner-assist.com.au.
The Planner-Assist website is a basic information and enquiry website and does not publish articles, blogs or advertising.
Visitors can generally view the website without providing personal information. If you submit an enquiry through the website, we may collect the personal information you provide, such as your name, email address and, where provided, telephone number, so that we can respond to your enquiry.
Planner-Assist does not currently use website analytics or advertising tools and does not intentionally use cookies for tracking or advertising purposes.
The website is managed by an Australian-based IT service provider. We take reasonable steps to ensure that service providers who may have access to personal information are subject to appropriate confidentiality, privacy and security obligations.
